Changing the Print Order of Fee Transactions on an Invoice

Fee transactions are sorted on Prebills and Invoices by Transaction Date, Timekeeper Level, and Timekeeper ID.  There may be times when multiple transactions on a particular date need to be displayed on the invoice in an order different from the default order.  For example, Attorney ZZZ is a partner and Attorney AAA is an associate, and they both performed work on the same day for the Client-Matter. If you were to print an invoice at this point, Attorney ZZZ’s transaction would print first.  The Billing Attorney has told you that the associate’s time should print first since Attorney ZZZ’s transaction reflects a review of the work completed by Attorney AAA in his transaction.  You may change this order of printing by changing the Level Number on the individual transactions through Bill Preparation.

Open up Bill Preparation and call up the Client-Matter.  Once displayed, locate and tag the transaction in question for Attorney AAA. Right click and choose Global Edit, or click the ACTION Button and choose Global Edit.  Click on the Drop Down arrow next to Level and change the Timekeeper Level for this transaction to the Partner’s Level.  Once you have done this you will notice that Attorney AAA’s transaction prints before Attorney ZZZ’s transaction.  Since both transactions are assigned Level Number 1, the next sort used is Attorney ID and AAA comes before ZZZ.  In some cases you may have to “play” with the levels to get it in the exact order you want. Assuming you have your Bill Preparation screen sorted by the Date column, you can see the results of your changes on the screen.

NOTE: This process has no effect on any reports that are printed by Level or with Level Sorts.  It also has no effect on the Level assigned to the Timekeeper in the Timekeeper file and does not change the Level indicator that prints in the Invoice Recap section.

HINT:  To see the Print Order of your Timekeeper Levels easily, run a Timekeeper Levels Report (under File Maintenance Reports) using Sort Order = Print Order.  Alternatively, go to File Maintenance Manager > Tools > Manage Codes and select Timekeeper Levels from the drop-down menu, and then double-click on a Timekeeper Level to see the Print Order for that Level (Print Order will appear at the top right of the window that appears).
