AR Manager - Customizing Display to Find Certain Data

Customizing the Display

In addtion to using the Transaction Filter Button that allows you to filter for certain transaction types and by Client-Matter and date range, you also have other options to customize and find data on the AR Manager Screen.

The Accounts Receivable Manager View allows you to customize the way records display in the grid:.

To Arrange Column Headings do the following:

Use your left mouse button and click on a Column Heading such as Received From, and hold it down while dragging it to the new location. Let go of the left mouse key when you see the green arrows appear. The green arrows let you know you are on the right spot to drop something in the column heading.  You may place column headings in any order that you prefer.

To sort on columns:

Click on the column heading itself. You will notice a small gray direction indicator letting you know which direction you have the column information sorted (ascending or descending). You may also sort by two or more columns by holding your shift key down while making the selections.

To filter displayed records:

Click the black down arrow on the desired column heading and then you will get a drop down filter window that will have selections available. For instance, if you want to filter by a particular client number (without having to use the Transaction Filter button) a quick way to do it is to use the filter on the column heading itself. Once you have picked the Client Number, just the records with that client number will be displayed (the black arrow will turn blue and a message showing you the filter you set will display at the bottom of the panel).  To turn off the filter, simply click on the blue arrow and choose ALL. Note this filter works against only the originally displayed records, so it is possible you will need to use the transaction filter button to filter for a different date range if you do not see what you are looking for on the screen.

Other ways to search for data:

Display a particular record by typing directly on the field in the column:

For example, if you want to find transaction number 48236, place your cursor in the Record Number column - right on the 1st digit in the first record number on the screen. Start typing the record number. The system will highlight the first row containing record/transaction number 48236.

Note that the incremental searches from the point the cursor is currently located, so you may have to sort by the column in which you are searching first and place your cursor on the first record. To "reset" the screen after a "hit," you can click on your up arrow and start typing again.

Another way to find a record by the record number is to simply click on the New button and enter the Record number directly into the record number field. The existing record will display.

Find options:

You may right click anywhere on the transaction grid and choose from one of three FIND options listed below:

Find In Received From (this looks for data entered in the Received From field)

Find in Description (this looks for data entered in the Description field)

Find in Check # (this looks for data entered in the Check Number field)

This search will work regardless of where your cursor is located; however, it only searches those items currently displayed on the screen.  If you have a filter set, you may need to turn it off first so that you are searching the entire data set if needed. For example, if you have the transaction filter set to display a week's worth of transactions, the Find options are only going to give you "hits" on transactions that are in that particular week.
